Q. What is a document?
A. Documents exist as paper files, scanned images,
electronic files, faxes, drawings, fiche, film and
video.
Q. What is an electronic document?
A. An electrical document is a digital picture of
the original paper document. When a piece of paper is
run through a scanner it makes an electronic image of
the document, similar to a digital camera.
Q. What storage media options do I have?
A. Options include optical disc storage media such
as a CD or DVD, external storage drives, servers, flash
drives, USB sticks and remote backup.
Q. Can you upload the image files to our Server or
document management system?
A. Working with your IT staff we can upload your
images to your server, your document management system,
or a remote storage server.
Q. What electronic formats are used for scanned
documents?
A. Images are most commonly stored as standard
TIFF or PDF files
Q. What is Backfile Conversion?
A. The process of scanning, indexing and storing
archived/closed files into a digital format.
Q. What if
I want another copy of my document CD/DVD later?
A. We will be glad to provide you with additional
copies at a small charge.
Q. Should I outsource or scan in-house?
A.
Outsourcing your document scanning saves capital
investment and staffing costs. You save on the time to
set and implement an in-house imaging group. You pay for
the cost of scanning only, not equipment or staffing.
Organizations outsource to reduce their operating costs,
which enables them to focus their resources on their
core business processes.
Q. Why should I scan my archived or closed files?
A. Document storage is a growing problem for
businesses. On-site storage is limited and warehouse
storage space can be very expensive and inefficient as
retrieval and re-filing and storing of documents can
take days, can add extra expenses and also results in
slow response to client needs.
Q. Can I make changes to the scanned documents?
A. No.
Q. How will my files and documents be organized?
A. Your electronic files can be organized and
indexed to match your filing system.
Q. Will sensitive information on my documents
remain private?
A. Burgner & Rostant is committed to protecting
the privacy of our clients. Burgner & Rostant has a
confidentiality agreement which is signed by both
parties.
Q. Will you return my documents or destroy them
after scanning?
A. Both options are available.
